OSGC affiliate members, affiliate faculty, partners, invited guests, and presenters are invited to attend the Oregon NASA Space Grant Consortium Annual Affiliate Meeting. Each member institution is required by OSGC Bylaws to have at least one representative in attendance at the meeting. If the affiliate representative is unable to attend, please be sure someone from your institution is attending in your absence to maintain your institution’s active membership status. Affiliate representatives who are unable to attend must complete the registration and provide the name of a proxy.

Lodging Reservation Deadline: August 25, 2023

The Mill Casino Hotel is holding a block of rooms at the OSGC group rate of $200/night. Individuals are responsible for making their own reservation. Rooms are on hold until Friday, August 25, 2023.

The OSGC room rate and availability are not guaranteed after this date. After August 25th, the room block will be released, and requests for reservations will then be accepted on a space and rate available basis only. To receive the group rate please choose one of the following two methods to make a reservation:

  1. Call The Mill Casino Hotel directly at (800) 953-4800. To receive the special $200 rate, guests simply need to call the Hotel Reservation Center and inform the Reservation Agents they are attending the Oregon NASA Space Grant Affiliate Meeting.
  2. Reservations may also be booked online at https://www.themillcasino.com/. From the website, select “Book Now” located in the upper right-hand corner; next select “Group Sign In” and enter the code 9326. From there simply add your dates and select your room type.

Room reservations must be guaranteed with a major credit card at the time of reservation. Parties with reservations who no-show will be charged the first night’s room charges. OSGC will reimburse lodging; however, reservations must be made by the individual and accommodations must be paid by the individual at the time of the stay. A zero-balance hotel receipt is needed for reimbursement.

 

TRAVEL REIMBURSEMENT

Attendees who live more than 30 miles outside of the Coos Bay area will be reimbursed for lodging, round trip mileage to and from Coos Bay, and meals not provided as part of the meeting at the GSA per diem rate. The OSU travel office requires a google map printout showing the round-trip mileage from an attendee’s home or office to the meeting destination. You will be asked to provide this, along with a zero-balance hotel receipt in order to receive your travel reimbursement.

 

MEETING REGISTRATION

Meeting registration is required for all meeting attendees. There is no registration fee for attending. Guests of meeting attendees are welcome to attend the Thursday evening Salmon Bake; meal expenses for guests are not covered by OSGC. The guest registration fee is $50. A check made payable to Oregon State University is required and will be collected at the event.
